Introduction

The Massachusetts Orchid Society (“MOS”, “MassOrchid”, "Mass Orchid Society", "the Society", "the Board", “we”, “us”, “our”) is committed to protecting the privacy of its online visitors, members, vendors and donors (“Users”, “you”, “your”). This privacy policy (“Privacy Policy”) describes how we collect and use information through our website (massorchid.org, “the Website”). The Massachusetts Orchid Society does not sell, or rent, or otherwise disclose member or User information to any outside party.

Personal Information
The Massachusetts Orchid Society does not collect any personal information about individual Users, including names, postal or email addresses, or other personally identifying information (“Personal Information”) unless such information is volunteered. General use of the Website does not require submitting Personal Information. Personal Information may be collected when you:

  • Purchase a membership or gift membership
  • Make a donation
  • Purchase tickets or sign up for events
  • Participate in events or functions (ex. Auction or annual orchid show)
  • Communicate with us through the Website or via email (including any online forms)
  • Enter a drawing or raffle event


Use of Personal Information

Personal Information retained by the Society is intended for function and communication of the Society. The society may use personal data for the following purposes:

  • To manage your membership and registration as a user of the website. The personal data you provide can give you access to a “Members Only” section of the website that is available to you as a registered user.
  • To allow us to manage a membership, event ticket or other purchase made with us through the website.
  • To allow us to manage an event which requires registration through our website.
  • To contact you by email or telephone when necessary or reasonable to do so.
  • To provide you with news or general information about purchases you made, membership status, notice of our newsletters and activities or events of interest to our members.
  • To request or communicate feedback on the MOS or Website.
  • By joining the Massachusetts Orchid Society, we ask you to provide contact information available to the MOS membership. This information is held in the member-only access "Member Directory" on our website. We provide this information so that our members have the information needed to communicate with each other to build friendship and community.

Privacy of Children

The Massachusetts Orchid Society does not keep personal information of children.

How to Update or Remove your Personal Information
Updates to your member profile and the displayed information is available through the membership portal sign-in. If for any reason you do not wish to receive further notifications (emails or newsletters) from The Massachusetts Orchid Society, please unsubscribe, or email membership@massorchid.org.

Safety of Personal Information

Member's control their password protected user profile. Additional Personal Information is protected by the membership software provider's security measures (Wild Apricot) and by limited access to MOS Board members as needed. For inquires on the Society's security, please contact admin@massorchid.org.

Website

Use of our website, including browsing or downloading content, does not allow us to collect any personally identifying information. Our website provider may automatically recognize the domain name and/or Internet Protocol (IP) address of each visitor, but we do not utilize any analytics of website usage.

Use of Cookies

Internet 'cookies' are a method of identifying users and preferences across websites. It is usually a small text data file stored on the user’s hard drive containing user information. We currently do not use or enable cookies directly, any such cookies would be administered by the website provider and these cookies do not store any personally identifiable information available to MOS. You may instruct your browser to refuse all cookies or indicate when a cookie is being sent; however, if you do not accept cookies, you may not be able to use some parts of our website. For example, cookies are used to maintain your account login so that you do not need to reenter your password every time you access the "Members Only" section of our website.

Links to Other Sites

Links from our MOS website to other sites are not an endorsement of any content, products, etc. of the linked site. The Massachusetts Orchid Society has no control over third-party websites and our privacy policy does not apply outside of the MOS Website. Please locate and refer to the other site's individual policies. This includes linked payment processing portals.

Other Media Interactions (Social Media, E-mail, Surveys, Pictures)

Should you address questions or comments to MOS, whether through e-mail, social media, or in-person interactions, we may use your personal information to respond to your questions or comments. Copies of such communication will likely remain on MOS email servers or social media platforms unless requested otherwise.

Requests for input, such as event invites, surveys, and online polls, may require identifying information. Participation is voluntary and personal information will not be shared outside of society membership.

Should photos be willingly submitted, posted online or taken during MOS-related events, the Massachusetts Orchid Society retains the right to use those photos at a later date. Changes to the Privacy Policy

The Massachusetts Orchid Society reserves the right to change or update this Privacy Policy at any time. Changes or updates are effective immediately on posting to this page and constitute notice to the User. Latest date of change or update will be provided on this page; we encourage regular checking of this page.

Exception to the Privacy Policy

The Massachusetts Orchid Society will comply with any valid legal process such as a search warrant, subpoena, statute, and/or court order by releasing requested information about your account.

Use of the Website and/or becoming a MOS member constitutes acceptance of the above Privacy Policy and any future updates or changes made to it.
